This Privacy Policy is published by RealIDPrep LLC ("RealIDPrep," "we," "us," or "our"), a document research and ordering service registered in the State of Texas. Our website is located at realidprep.com.

2.1 Information You Provide Directly
When you engage our Services, we collect the personal information necessary to locate and submit document orders on your behalf. This may include:
- Identity information: Full legal name, date of birth, prior legal names, Social Security Number (last four digits for identity verification purposes only), and any other identifying details required by records-issuing agencies
- Contact information: Email address, phone number, and mailing address
- Government-issued identification: A copy of your current photo ID (driver's license, state ID, or passport) collected during our identity verification process
- Case-specific information: Prior addresses, prior states of residence, names of issuing agencies, and any other details relevant to locating your records
- Payment information: Billing details are collected and processed by our third-party payment processor. RealIDPrep does not store your full payment card number on our systems.
- Communications: Records of your correspondence with us via email or other channels
- Case file materials: Unofficial copies of publicly available records (where obtained as part of research), agency fee receipts, order confirmations, and instructions — included in your case file. Certified original records are sent directly from the issuing agencies to your address; RealIDPrep does not receive or retain them.
2.2 Information Collected Automatically
When you visit our website, certain technical information is collected automatically through cookies and analytics tools. This includes:
- IP address and approximate geographic location
- Browser type and version, operating system, and device type
- Pages visited, time spent on pages, and referring URLs
- Interactions with website elements (clicks, scrolls, form completions)
This data is collected through Google Analytics and the Meta (Facebook) Pixel. See Section 5 for full details on how these tools work and how to opt out.
2.3 Information We Do Not Collect
We do not collect your full Social Security Number at any point. We do not collect financial account numbers beyond what is necessary for payment processing, which is handled by our third-party processor. We do not collect biometric data.
3. How We Use Your Information
We use the information we collect strictly for the following purposes:
3.1 To Provide Our Services
The primary use of your personal information is to perform the document research and ordering services you have engaged us for. This includes verifying your identity, communicating with government agencies and third-party issuers on your behalf, submitting document orders, and delivering your case file to you. Certified records are dispatched by issuing agencies directly to your address — we do not receive or possess them.
3.2 To Communicate With You
We use your contact information to send you transactional communications related to your case — including case status updates, document delivery notifications, billing information, and responses to your inquiries. We do not send marketing or promotional emails. All email communications from RealIDPrep are directly related to your active engagement or a prior inquiry.
3.3 To Process Payment
Your payment information is used solely to process your retainer payment and any additional fees associated with your case. Payment processing is handled by a PCI-compliant third-party processor.
3.4 To Improve Our Services
Aggregated, anonymized website analytics data is used to understand how visitors use our site and to improve the user experience. This data cannot be used to identify individual users.
3.5 To Comply With Legal Obligations
We may use or retain your information as required by applicable federal, state, or local law, including in response to lawful legal process or government requests.
3.6 To Protect Against Fraud
We use identity verification information to detect and prevent fraudulent use of our Services, including unauthorized records requests and identity theft.
4. How We Share Your Information
RealIDPrep does not sell your personal information. We share it only in the limited circumstances described below.
4.1 Government Agencies & Records Issuers
To submit document orders on your behalf, we must provide your personal information to the relevant government agencies, vital records offices, courts, or other authorized issuers. This sharing is done solely within the scope of your signed service agreement and for no other purpose. Those agencies then dispatch the certified records directly to your address.
4.2 Service Providers
We work with a small number of trusted third-party service providers who assist us in operating our business. These providers only receive the data necessary to perform their specific function and are contractually prohibited from using it for any other purpose. Our service providers include:
- Payment processing: To securely handle retainer and fee payments
- Electronic signature: To execute your service agreement
- Cloud storage & file management: To securely store your case file during the retention period
- Website analytics: Google Analytics and Meta Pixel (see Section 5)
4.3 Legal Requirements
We may disclose your information if required to do so by law or in response to a valid subpoena, court order, or government request. Where permitted by law, we will attempt to notify you before complying with such a request.
4.4 Protection of Rights
We may disclose information where we believe it is necessary to investigate, prevent, or take action regarding suspected identity fraud, unauthorized records requests, or other illegal activity involving our Services.
4.5 Business Transfers
In the event that RealIDPrep is acquired, merged with another company, or undergoes a similar business transition, your information may be transferred as part of that transaction. We will notify affected clients by email prior to any such transfer, and the receiving entity will be required to honor this Privacy Policy.
5. Cookies & Tracking Technologies
Our website uses cookies and similar tracking technologies to operate properly and to understand how visitors use the site. This section explains what we use, why, and how you can control it.
5.1 What Are Cookies?

5.4 Do Not Track
Some browsers transmit "Do Not Track" signals to websites. Because there is no industry-wide standard for how these signals should be interpreted, our website does not currently respond to Do Not Track signals. We will revisit this position as standards develop.
6. Data Retention
6.1 Active Case Files
We retain your case file — including personal information, identity verification documents, signed service agreements, correspondence, unofficial record copies, and receipts — for 90 days following the completion or closure of your case. This retention period allows us to address any questions or issues that arise after your case closes. Certified original records are never retained by us, as they are sent directly from issuing agencies to you.
6.2 After the Retention Period
At the end of the 90-day retention window, your case file is securely deleted from our active systems. Secure deletion means the data is permanently and irreversibly removed and cannot be recovered.
6.3 Extended Retention Upon Request
If you would like us to retain your case file beyond the standard 90-day period — for example, because you may need records for future compliance purposes — you may request extended retention. Extended retention is available for a nominal fee. Contact us at legal@realidprep.com to discuss this option before your 90-day window expires. If your certified documents need to be re-ordered after your file has been purged, we may be able to assist with a new research engagement.
6.4 Legal Hold
Notwithstanding the above, we may retain certain information for longer periods where required by applicable law, to comply with a legal hold, or to defend against an active or reasonably anticipated legal claim.
6.5 Analytics Data
Anonymized website analytics data collected through Google Analytics is retained in accordance with Google's data retention policies, which can be configured and reviewed in our Google Analytics account. This data does not contain personally identifiable information.
7. Data Security
Protecting your personal information is one of our most important responsibilities. Given the sensitivity of the documents we handle, we take security seriously.
7.1 Security Measures
We implement the following measures to protect your information:
- Encryption in transit: All data transmitted between your browser and our website is encrypted using TLS (Transport Layer Security).
- Encryption at rest: Case files and personal data stored on our systems are encrypted at rest.
- Access controls: Access to client data is restricted to RealIDPrep personnel who require it to perform their job functions.
- Payment security: Payment processing is handled by a PCI DSS-compliant third-party processor. We do not store full payment card numbers on our servers.
7.2 Limitations
Despite these measures, no method of data transmission or storage is 100% secure. We cannot guarantee absolute security against all possible threats, including sophisticated cyberattacks or breaches of our third-party service providers' systems. We encourage you to use a strong, unique password for any account-related access and to notify us immediately if you suspect unauthorized use of your information.
7.3 Breach Notification
In the event of a data breach that affects your personal information, we will notify you as required under applicable state and federal data breach notification laws. Notification will be provided via email to the address on file for your account.
8. Children's Privacy
Our Services are intended solely for individuals who are 18 years of age or older. We do not knowingly collect, solicit, or retain personal information from anyone under the age of 18.
If you are a parent or guardian and believe that a minor has submitted personal information to us, please contact us immediately at legal@realidprep.com. We will promptly delete any such information from our records upon verification.
Our website and Services are not directed at children, and we do not knowingly market to or engage with individuals under 18 years of age.
9. Your Rights & Choices
Regardless of where you live, you have the following rights with respect to your personal information held by RealIDPrep. To exercise any of these rights, contact us at legal@realidprep.com. We will respond within ten (10) business days.
9.1 Right to Access
You may request a copy of the personal information we hold about you. We will provide this information in a commonly used electronic format.
9.2 Right to Correction
If any of the personal information we hold about you is inaccurate or incomplete, you may request that we correct it. Please note that correcting intake information after document orders have been submitted may affect the accuracy of requests already in progress with agencies.
9.3 Right to Deletion
You may request that we delete your personal information from our records. We will honor deletion requests subject to any legal obligations requiring us to retain certain records (see Section 6.4). Note that deletion of your information may make it impossible for us to continue or complete your service engagement.
9.4 Right to Withdraw Consent
Where our processing of your personal information is based on your consent (such as your signed service agreement), you may withdraw that consent at any time by notifying us in writing. Withdrawal of consent will not affect the lawfulness of processing that occurred before the withdrawal, and it may result in the termination of your service engagement.
9.5 Right to Complain
If you believe we have handled your personal information unlawfully or in a manner inconsistent with this Privacy Policy, you have the right to file a complaint with the applicable state or federal regulatory authority. We encourage you to contact us first so we can attempt to resolve the matter directly.
10. California Residents — CCPA Rights
10.1 Categories of Personal Information Collected
In the past 12 months, RealIDPrep has collected the following categories of personal information from California residents:
- Identifiers: Name, email address, phone number, mailing address, IP address
- Government identification: Copy of government-issued photo ID
- Sensitive personal information: Date of birth, last four digits of Social Security Number (for identity verification only)
- Commercial information: Service history and transaction records
- Internet or network activity: Browsing behavior on our website via Google Analytics and Meta Pixel
- Case file materials: Unofficial record copies (where publicly available), agency fee receipts, and order confirmations compiled as part of your case file. Certified original records are not held by RealIDPrep — they are sent directly from issuing agencies to you.
10.2 Purposes for Collection
We collect this information for the purposes described in Section 3 of this Privacy Policy: to provide our Services, communicate with you, process payment, improve our website, comply with legal obligations, and prevent fraud.
10.3 Sale or Sharing of Personal Information
RealIDPrep does not sell your personal information. We do not exchange your personal information for monetary or other valuable consideration with any third party for their own commercial purposes.
However, our use of Google Analytics and the Meta Pixel may constitute "sharing" of personal information for cross-context behavioral advertising under the CCPA. You have the right to opt out of this sharing. To opt out, you may use the opt-out mechanisms described in Section 5.2 of this Privacy Policy, or submit a request to us at legal@realidprep.com.
10.4 Your CCPA Rights
As a California resident, you have the following rights:
- Right to Know: You may request that we disclose the categories and specific pieces of personal information we have collected about you, the categories of sources from which it was collected, the purposes for collection, and the categories of third parties with whom it has been shared.
- Right to Delete: You may request deletion of personal information we have collected from you, subject to certain exceptions permitted by law.
- Right to Correct: You may request correction of inaccurate personal information we hold about you.
- Right to Opt Out of Sale/Sharing: You may direct us to stop sharing your personal information for cross-context behavioral advertising purposes.
- Right to Limit Use of Sensitive Personal Information: You may request that we limit our use of sensitive personal information (such as government ID data) to only what is necessary to provide our Services.
- Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA rights. Exercising your rights will not affect the quality or price of services available to you.
10.5 How to Submit a CCPA Request
To exercise any of your CCPA rights, please contact us at legal@realidprep.com with the subject line "CCPA Request." We will verify your identity before processing your request and will respond within 45 days as required by law. If we need additional time, we will notify you of the extension and the reason for it.
You may designate an authorized agent to submit a CCPA request on your behalf. Authorized agent requests must include written proof of authorization and will be subject to identity verification requirements.
11. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will update the "Last Updated" date at the top of this page.
For active clients, we will provide notice of material changes by email to the address on file. For website visitors who have not engaged our Services, continued use of the site after the updated policy is posted constitutes acceptance of the revised terms.
